Job Title: Administrative Assistant, Plant Management

Facilitate the management of the Business Unit (Finance, Human Resources, Manufacturing) in a manner which assures and maintains the optimum use of the Executive’s time and effectiveness of the function.

- The incumbent shall provide consistent secretarial support in organizing all key administrative and logistics matters.

- Position Responsibilities Administration Perform all secretarial and administrative duties and a variety of office tasks.

- Assist in meetings and events preparations.

- Files information alphabetically, numerically, and chronologically according to office procedure to maintain organized and accurate filing systems; locates and retrieves files from manual or computerized systems to provide requested information.

- Create new files, update file information to maintain accurate files; merges and assembles files to maintain records; delivers and/or picks up files to provide requested information; photocopies files as requested.

- Track and log in work using computer, logs, receipts, and forms to maintain accurate records.

- Provide strong support to all the Travel activities such as: air tickets, hotel, car rental, etc.

- Maintain an organized meeting agenda for the Director/Plant Manager.

- Maintain an updated Leave Plan for the Director/ Plant Manager.

- Ensure the Director/Plant Manager calendar/schedule is manageable or re-directed where possible.

- Handle conflicting priorities efficiently/effectivelyPro-actively relieve Director/Plant Manager of administrative and business details.

- Pro-actively support material requisitions issuance and trackingPro-actively support personnel relocation activities relatedProvide on-time offices consumables to all personnel Controlled Document Administration Maintain an organized system to manage the Controlled Document following the existing procedures in place Financial Performance Support issuance of expenses reports ensuring the content of all back-up receipts/invoicesCoordinate Corporate Credit Cards expense reports to ensure they are completed accurately and on-timeCollect all approved Credit Card reports, scan and e-mail to CEO admin.

- Assistance within monthly deadlineMaintain a proper control of the office’s consumables and printing materials Travel Assistance Assist in obtaining air tickets, hotel, car rental, etc.

- Arrange with the selected Travel Agency all the air tickets reservationsArrange for Hotel bookingCoordinate personnel transportation in Egypt, Cairo or Damietta and abroad as required Position Qualifications [removed] of any relevant discipline .

- Minimum of 3 years of experience as Manager Administrative Assistant Fluently English speaking
